8 Ways to Protect Your Small Business from Debt

Last updated: May 14, 2026

If you’re not careful and prepared, you might reach a stage in your business where you’ve got more money coming in and out than your systems and routines can really cope with. At first it was probably fine, and it was easy enough to keep track of everything because there were only a few people and a few transactions to be aware of, but over time, as you’ve grown, things have become a bit more complicated.

With that in mind, here are some tips about how to protect your business finances.

No One’s Noticed The Waste

You might be surprised to learn that businesses lose a lot of money all the time, and because it tends to happen in quite normal ways, you’ve probably not noticed it’s happening in your own business – and neither has anyone else.

It could be you’ve got old software or subscriptions you’re paying for that no one actually uses, for example, or maybe you’ve ordered things twice because communication was bad or your warehouse was messy. And there are sure to be plenty of tiny recurring costs that build up over the course of a year because no one thought to check them or see what they even were.

However, when you finally sit down and review your expenses, then you’ll see the mistakes that are being made, and you can do something about them – that’s why it’s important to make that a regular task, just to be on the safe side.

You’ve Always Done It Like That

Doing things in a certain way because you’ve always done it that way, or your predecessor did, isn’t always a good idea – it’s best to check to see if that way really is the best one, because it could be there’s a better, easier, safer way to go about whatever it is you’re doing.

The fact is that processes that worked a few years ago might be out of date now, especially if your business has grown or you’ve got new software that works differently, for example.

The best option is to take each process one at a time and really look at how things are done. If it still works, and it’s the best option, keep doing it, but if it’s actually slowing things down or even putting your finances at risk, it’s time to find a better way. And with so many experts online to help, that shouldn’t be too difficult.

Online Fraud Is Harder To Spot

Years ago, scam emails were fairly easy to spot most of the time, but now they look genuine enough that busy people miss things all the time, and they might end up opening or evening actioning fake invoices, cloned email addresses, and payment requests – if these things arrive at the wrong moment during busy days, it’s easily done. And once the money’s gone, recovering it isn’t easy at all, and you might need to speak to a fraud solicitor to find out what to do next.

That’s why you should always pause for just a moment before you do anything, especially when it comes to money. Think it all through carefully, and if you’re not sure, ask others for help – it’s the best option you’ve got.
